Terms

The commercial terms of a booking, in the same words we'd use on the phone. Every figure here is the one quoted on the home page — nothing changes once you've agreed a price.

Booking and quoting

An enquiry is not a booking. When you send the form we reply with availability and a price; a date is yours once we've both confirmed it in writing, and once any deposit that applies has been paid.

The price we quote is the price we invoice. It is a flat fee for the session, not a per-head rate, so a smaller turnout on the night does not reduce it and a couple of extra people does not increase it. If the headcount changes enough to need another facilitator, we'll tell you before the night rather than after it.

We're happy to quote against a purchase order number. Tell us the number and we'll put it on the invoice.

Deposits

  • Under $1,100 — no deposit on a first booking. We invoice after the session.
  • $1,100 and over — 25% holds the date. The balance is invoiced after the session on the same terms as everything else.

A deposit is what takes the date out of the calendar for everyone else, which is the whole reason it exists on the larger nights.

Invoicing and payment

We invoice the day after the session, for the amount quoted, on 14-day terms. Payment is by bank transfer to the account on the invoice. All prices include GST, and the invoice is a valid tax invoice showing our ABN.

If an invoice is going to be late, tell us — we would much rather hear about it than chase it. We don't charge interest on overdue amounts.

Rescheduling and cancellation

Move it once, free, up to seven days out.

Inside seven days we'll still try. It depends what else is in the calendar that week, and we'll be straight with you about whether it's possible. Nobody gets charged for a flu that went through the floor.

If you cancel outright rather than move it, any deposit paid covers the date we held and is not refunded. There's nothing else to pay.

If we have to cancel — illness, a car that won't start, anything at our end — you pay nothing, any deposit is refunded in full, and we'll offer you the next date we have.

What we bring, and what you provide

For a hosted session in your office we bring the games, the teach-cards and the host, and we arrive thirty minutes early to set up. Travel and the kit are in the price across Melbourne metro; beyond the metro we quote travel separately rather than bury it in the fee.

For a hosted session online we bring the host and the games, and your team gets a link by email. There's nothing to install and no account to make.

What we need from you: a room with tables and chairs, enough light to read a card by, and somewhere to park or unload if we're driving. Tell us in advance about building access, sign-in procedures or anything a visitor needs to know.

Tell us about accessibility requirements and we'll bring games that fit. Colour-blind-safe components, large-print teach-cards, seated-only formats and no-timer variants are normal requests, not special ones.

Games drop-off

We drop a curated shelf at your office and collect it the following Monday. The games stay ours the whole time. Normal wear is expected and never charged for; if something is lost or damaged beyond use, we'll ask you to cover the replacement cost of that title at its retail price, and we'll tell you what that is before charging anything.

Insurance and checks

  • Public liability insurance to $20 million, with a certificate of currency available on request.
  • A current National Police Check, available to sight.
  • A current Working with Children Check, available to sight.

Ask and we'll send all three. Procurement teams usually want them before the first booking, which is normal and not a problem.

On the night

Our host runs the session and will call it early, without argument and without a refund conversation, if anyone is being harassed, intimidated or made unsafe. That has never happened and we don't expect it to, but it's better stated than assumed.

You're responsible for your own venue and your own people. We're responsible for our host, our games and running the session we agreed.

Alcohol is your call — it's your workplace and your policy. We'll ask you to keep red wine one table away from the cards.

Consumer rights and jurisdiction

Nothing here limits your rights under the Australian Consumer Law. If we don't deliver what we agreed, those rights apply regardless of what this page says.

These terms are governed by the law of Victoria, Australia.

Your information

What we collect, why, how long we keep it and how to have it deleted is set out on the privacy page. The short version: attendee names are deleted after every event, and there is no mailing list.
